Write an RFQ a supplier can act on

A request for quotation starts a conversation about a specific requirement. The goal is to give the supplier enough context to assess fit and identify what still needs clarification. You do not need to settle every detail before making contact, but you should distinguish confirmed requirements from preferences.

Identify the product and the intended use

Refer to the catalogue product or SKU where possible. Add the material, size or variant you need and explain the intended application. If you are sourcing a custom product, describe the essential dimensions and performance needs. Ask what technical files the supplier needs before sending sensitive drawings.

Separate quantity, timing and destination

State the quantity and unit clearly, including whether this is a sample, first order or recurring requirement. Give the destination country and any known packing constraints. Explain your desired production or delivery window and ask the supplier to confirm feasibility; a preferred date is not an agreed delivery commitment.

Ask a few specific questions

For example: ‘We are evaluating 200 units of product VLV-025 for delivery to Germany. Please confirm the available connection sizes, packing method and production lead time. The quantity is an initial estimate; we will confirm it after reviewing your response.’ This is an illustrative request, not a real offer.

Make the next step clear

Provide a contact who can answer technical or purchasing questions. When comparing responses, check that suppliers quoted the same scope, units and assumptions.
